Manage Orders from Sale to Fulfilment
Review new orders, fulfil them accurately, handle refunds, and keep customers updated.
In a nutshell
Your order workspace
Orders from Shop and supported Business sales appear in one place so you can see what has been paid, what still needs packing or dispatch, and what is already complete.
Step 1: Check new orders
- Open Catalogue, then Orders.
- Filter by date or status to find work that needs attention.
- Open each order and check the customer, items, options, notes, total, and payment status.
Step 2: Fulfil the order
Use a consistent routine for picking, packing, dispatch, collection, or digital delivery. Update the status as work happens and check Catalogue, then Inventory, when stock is limited.
Step 3: Handle refunds carefully
- Confirm the correct order and the amount the customer actually paid.
- Choose a full or partial refund when available.
- Record the reason and tell the customer what to expect.
Ordafy’s platform fee on a completed sale is generally not returned when you refund a customer. You fund the customer refund from available balance; if funds are not ready yet, the request can wait until they are. Track progress in Financials → Refunds. Refund timing also depends on the payment provider and the customer’s bank.
Step 4: Use the right workspace
- Open Bookings for appointments.
- Open Tools, then POS, for in-person sales.
- Open Tools, then Payment Links, for payment links.
- Open People, then Customers, for customer history.
Frequently asked questions
Why can’t I find an order?
Check that you are in the correct business, widen the date range, clear filters, and confirm the customer completed payment.
Are bookings the same as orders?
No. Product purchases are orders; appointments are bookings. A customer may have both.
